    Hi everyone,
    I wanted to check in and see if anyone would be up for sharing some practical "show and tell" examples-especially from those who are a bit further along or have tried a few different approaches.
    We're currently working through our Day 1 governance and architecture internally (led by ICT, with IM input). So far, we've pulled together a taxonomy (agnostic IA mapped to retention, with draft access groups-IM led), and I've been working through the PROV / Andrew Warland guidance and materials.
    I'd really love to hear how others have brought this together-both conceptually and in practice. If anyone's open to a short show and tell via Teams, I'd be keen to invite our ICT and governance colleagues along too.
    To keep it focused, I'm particularly interested in:
    Architecture approach
    • How you've structured your SharePoint sites and Teams (e.g. by function, business unit, project, record type)
    • Whether sites map to business functions, and how granular you've gone
    • What's driven those decisions (ownership, access, retention, usability, etc.)
    Like many of you, we're finding that getting IM and ICT to a shared understanding-and a common language-is a really important first step.
    If you're open to sharing examples, diagrams, or a quick walkthrough of how your environment is set up, that would be hugely helpful-particularly as we move toward finalising our Day 1 position.

    Here are Logan City Council, we are also on the same journey as you, just starting to work out our IA architecture for SP and are very keen on understanding how anyone has done their system already if they are willing to share their approach

    We're in the same boat in the Bega Valley - almost. We're at exploration, but as we're coming in largely blind I'm keen to get a head-start on understanding IA, governance/ICT requirements, and anything we need to/should consider before seeking executive endorsement and committing to the bit.

    I had a feeling there were a few of us in the same boat right now 😊 I'm really looking forward to the M365 CoP sessions too, and I'm sure my understanding of SharePoint IA and governance will grow as we work through these topics- @Carolyn Hartman maybe one to focus on in a future CoP session - SharePoint IA?
    If I get a volunteer for a show and tell, I'll let you both know. It'd be great to grab a few of us together if timing lines up. I'm also very happy to catch up one‑on‑one to compare notes and share what we're learning-just sing out if you feel like a quick Teams chat.

    Good afternoon

    Here at Hauraki District Council in NZ, we are also only on the starting stages of 365, Sharepoint, Teams and how this needs to be setup. We use zoom for our phones and online meetings and Magiq Documents as our EDRMS, however know that 365 has many great tools that could help staff.  We would be interested in seeing a show and tell session.

    Hi Michelle, Darshan, Stacey, Debbie and others following this discussion,

    Firstly, apologies for joining the conversation a little late. I've been following the discussion with interest and it's encouraging (and somewhat reassuring!) to see so many organisations asking the same questions.

    In my experience, there is rarely a single "right" architecture for M365-most successful implementations end up balancing governance, usability, ownership, security and records management requirements.

    One lesson we've learned is that organisations often spend a lot of time debating site structures, when the bigger challenge is establishing a clear operating model that both ICT and Information Management can support long term.

    A few observations from working with organisations on this journey:

    β€’ Start with business functions rather than organisational structures wherever possible. Functions tend to remain more stable over time than departments and reporting lines.

    β€’ Avoid creating excessive site sprawl early. A simpler architecture with strong governance is often easier to scale than a highly granular design that becomes difficult for users to navigate.

    β€’ Separate collaboration needs from recordkeeping needs. Many organisations initially try to make every Teams workspace a perfect records repository, which can create unnecessary complexity.

    β€’ Clearly define ownership responsibilities from Day 1. Knowing who is responsible for site governance, access reviews, retention decisions and lifecycle management becomes critical as adoption grows.

    β€’ Focus heavily on user behaviour and adoption. The most elegant architecture on paper can struggle if staff don't understand where information belongs or why.

    One thing I've noticed across councils, education and government organisations is that everyone seems to be solving very similar problems, often independently. There could be real value in a collaborative show-and-tell session where participants share architecture diagrams, lessons learned, what worked well, and perhaps more importantly, what they would do differently if starting again.

    I'd be happy to facilitate a practical show-and-tell session and share examples from organisations across local government. We could walk through information architecture approaches, SharePoint and Teams design patterns, governance models, retention alignment, security considerations, and some of the lessons learned-both the successes and the mistakes worth avoiding. The intention would be to create an open discussion where everyone can compare approaches and learn from each other's experiences.

    Hi Sudi,

    Thanks for sharing this - really appreciate it.

    It has reinforced for me the importance of starting with business functions, taking steps early to manage site sprawl, and having strong governance in place (clear roles and responsibilities, etc.).

    Your point about separating collaboration from recordkeeping is really helpful and makes a lot of sense. It would be great to explore this a bit further from a practical perspective - I'm thinking a risk-based approach, supported by clear business rules, to make sure any corporate records created in 'collaboration-focused' Teams/sites are captured in the right place.

    We're really hoping to engage with users as part of this as well, to better understand their operational needs.

    I'd love to join the show-and-tell session you mentioned, and likely bring a few colleagues along.

    @Katrina Windebank - that is ABSOLUTELY BRILLIANT! 

    At Central Coast Council we are currently moving into the TechOne suite whilst also looking at creating a SharePoint governance framework and cleaning up legacy files so your video was so incredibly valuable to me. I do have some questions if you don't mind:

    1. In teams, I see you had the Group Files tab - but what is captured under Shared, if anything?
    2. When this SharePoint structure was created, was it in a dual environment or applied over the top of the existing legacy one? Or what approach was used to put a full stop at the end of uncontrolled use and having the staff start fresh with the new ways of working?
    3. Staff that are working on documents can archive the record, thereby setting it to read only with the editable copy available in ECM - is there a way you can monitor records that have not manually been archived and then bulk archive?
    4. What is your approach to cleaning up the legacy files? This is a project I am currently facing and I'm sure there must be a better way than the one I am attempting which is pretty manual in nature
    5. I would also like to ask about the 10 year retention policy. If I have understood you correctly, your organisation considers SharePoint to be a temporary collaborative workspace only, with official records to be captured into ECM via the T1 archiving function. Does that then mean any file in SharePoint not archived which reaches an age of 10 years since modified gets automatically disposed?
    6. Finally, when a document is archived into ECM the record still exists in SharePoint as a link - if you click this link does it open within ECM?

    Thanks for the positive feedback.

    I will try and answer your questions the best I can:

    1. In teams, I see you had the Group Files tab - but what is captured under Shared, if anything? 

      We are encouraging staff to use the Group Files area and share document links in chats, rather than uploading documents directly into chat, which results in files being stored in the Shared area.   While it is possible to configure connectors to the SharePoint location under Documents (which is where the documents end up), managing multiple storage locations quickly becomes confusing. This creates administrative complexity and can also make it difficult for end users to understand where documents are being shared and where records should be stored.    The feedback we have received consistently points to the need to keep the process as simple as possible to support business continuity.

    2. When this SharePoint structure was created, was it in a dual environment or applied over the top of the existing legacy one? Or what approach was used to put a full stop at the end of uncontrolled use and having the staff start fresh with the new ways of working?  

      Teams/SharePoint was introduced rapidly in response to COVID and the shift to working from home, with little to no change management or training. Initially, staff primarily used it for chats and Teams meetings. Over time, however, newer staff began to adopt Teams and SharePoint more effectively as collaborative workspaces.

      From the outset, the message was that Teams/SharePoint was not a formal recordkeeping system, and that official records would need to be transferred to ECM. In practice, this did not always occur, particularly where major projects were delivered by temporary staff who left before recordkeeping processes were completed.

      As we have worked to build our own understanding of how the system operates, and to take advantage of the T1 Connector, we have approached the restructure gradually - one department and one team at a time. This has involved reaching out to teams, engaging them in the setup of their sites, and providing training on how to use them effectively.

      One of the first sites we focused on was the all-in Procurement Tenders and Quotes site. As we do not yet have this module available in T1, we established a process in SharePoint and trained a superuser, who then supported other staff in using the site correctly. That proved to be a turning point. Since then, teams have increasingly approached me for assistance with improving and connecting their sites.

      There is still considerable work to be done and in documenting what has been successful and embedding those learnings into our new policy.

    3. Staff that are working on documents can archive the record, thereby setting it to read only with the editable copy available in ECM - is there a way you can monitor records that have not manually been archived and then bulk archive?  

      The connected records are stored in ECM and checked out to SharePoint, allowing reports to be generated directly from ECM. T1 are still developing the archiving tools, as the current process is quite manual.  They have advised that they are working on a configured for archiving in bulk, removing the need for staff to initiate it.

    4. What is your approach to cleaning up the legacy files? This is a project I am currently facing and I'm sure there must be a better way than the one I am attempting which is pretty manual in nature.  

                 I have not yet identified a perfect solution, but what I have observed through engagement is that teams are more likely to buy in when the structure is easy to navigate and they feel ownership of it. In most cases, they have been proactive in undertaking their own clean-up activities.    As the subject matter experts for these records, they are often better placed than Information Management to identify the relevant activities and make decisions efficiently.

    5. I would also like to ask about the 10 year retention policy. If I have understood you correctly, your organisation considers SharePoint to be a temporary collaborative workspace only, with official records to be captured into ECM via the T1 archiving function. Does that then mean any file in SharePoint not archived which reaches an age of 10 years since modified gets automatically disposed?        We are considering that approach.   My initial preference was a 7-year period, but department heads have indicated that 10 years would be more appropriate.   Files in SharePoint that are not connected are generally reference material, drafts, or duplicates.   That said, we would need to be confident that legacy content has been reviewed, sorted, and connected before enabling any automatic disposal.
    6. Finally, when a document is archived into ECM the record still exists in SharePoint as a link - if you click this link does it open within ECM?  

                        Yes, the link opens in ECM.    In SharePoint, a record that is captured in ECM displays an ECM number and a 'Success' status in the adjacent columns.           In ECM, the document properties show a 'SharePoint' tag, which advised users that the editable document is checked out to SharePoint.     For archived records in SharePoint, the link begins with the ECM number and the adjacent columns are cleared.

    I hope this is helpful.  As I said before, I'm not an expert in Teams/SharePoint and feel I have so much still to learn, but having the T1 Connector has given us confidence that IM can manage this space and become skilled and experience through this transformation.

    When I took on this role, I had 12 years' experience as a TRIM/CM user and administrator, and I was not initially a supporter of the on-premises T1 environment. However, moving to the cloud, adding more modules, and implementing the SharePoint Connector have completely changed my view.   I can now see that compliance is achievable across the agency, and my team and I can focus on business improvements by embedding recordkeeping seamlessly in the background.   End users will still need some training and support, but this approach enables us to reduce manual administrative workload and minimise risk.    The SharePoint was a steep learning curve for me and my team, but well worth the effort.
